Frequently asked questions
Bookkeeping, cleanup, and tax prep can feel confusing when you’re not sure what’s included, what documents are needed, or where to start. These FAQs cover how DBS works, what to expect, and when something may need to be quoted separately.
Still not sure? That’s okay. A fit call is the best place to talk through your specific situation.
-
Yes. DBS is based in Merriam, Kansas, and works with clients virtually using secure tools for document collection, communication, bookkeeping access, and tax review.
-
QuickBooks Online is the primary bookkeeping platform for monthly bookkeeping clients. I may work with other tools depending on the project, but QuickBooks Online is usually the best fit for ongoing support. I do not recommend QuickBooks Self-Employed or Solopreneur for clients who need full bookkeeping support.
-
Yes, but final pricing depends on your actual bookkeeping setup. Monthly revenue helps estimate the package level, but transaction volume, number of accounts, payment platforms, payroll, sales tax, cleanup status, and reporting needs all affect the final quote.
-
Monthly bookkeeping can include transaction categorization, account reconciliations, financial reports, and routine bookkeeping communication. The exact scope depends on your written quote and agreement. Add-ons like payroll support, sales tax, A/R, A/P, class tracking, nonprofit fund tracking, custom reporting, cleanup, and tax prep are included only when quoted.
-
Yes. Cleanup and catch-up bookkeeping are available, but they are quoted separately after review. Behind books are usually more complicated than monthly bookkeeping because I may need to review old transactions, statements, reconciliations, duplicates, missing documents, payroll, loans, sales tax, payment platforms, or prior-year tax needs.
-
It depends on the service, but common items include bank statements, credit card statements, loan statements, payroll reports, sales platform reports, and access to QuickBooks Online when applicable.
-
It depends on how far behind the books are, how many accounts are involved, whether statements are available, and how quickly questions are answered. After I review the records, I’ll give you a better sense of the timeline and what needs to be completed first.
-
Monthly bookkeeping timing depends on when statements are available, how many transactions need review, and whether I’m waiting on answers. The goal is to keep your books current each month, but delays in access, documents, or responses can delay reporting.
-
Yes. I prepare individual, small business, partnership, S-corp, and nonprofit tax returns. Tax preparation is quoted separately unless it is specifically included in your written agreement.
-
Maybe, but the books may need to be cleaned up first. I won’t prepare a business tax return from records that appear incomplete, unreconciled, or unreliable. If cleanup is needed before filing, I’ll explain what needs to happen and quote that work separately.
-
Yes. I can help with nonprofit filings such as 990-N, 990-EZ, 990, and 990-PF, depending on the organization’s size, structure, and reporting requirements.
-
It depends on the service, but common items include prior tax returns, IRS or state notices, 1099s, W-2s, receipts for unusual transactions, and access to QuickBooks Online when applicable.
-
I use secure document upload tools for sensitive records. Please do not email Social Security numbers, tax documents, financial statements, payroll reports, or other sensitive files as regular email attachments.
-
No. Routine email support related to your monthly bookkeeping is included when you are an active monthly client. Larger questions, advisory work, tax planning, cleanup, urgent requests, meetings, or special projects may be quoted separately. Texting may be used for quick coordination, but it is not the main place for bookkeeping records, tax documents, or long explanations.
-
Invoices are sent through QuickBooks and may be paid by ACH or card. Payment terms will be included in your engagement letter or quote. Monthly bookkeeping, cleanup, tax preparation, and special projects may have different billing terms depending on the scope.
-
We’ll talk through your business, what kind of help you need, what systems you’re currently using, and whether your records are ready for bookkeeping, cleanup, or tax preparation. After the call, I’ll let you know what information I need to prepare a clear quote.
-
DBS is a good fit for business owners who want clear communication, secure document sharing, accurate financial records, and honest answers. I work especially well with therapy practices, nonprofits, and service-based small businesses that want organized books without having to live inside QuickBooks.
-
Cleanup, catch-up bookkeeping, tax preparation, payroll support, sales tax, A/R, A/P, custom reporting, class or fund tracking, advisory calls, rush work, and special projects are quoted separately unless they are included in your written agreement.
-
Rush work may be available depending on timing, complexity, and current workload, but it is not guaranteed. If a deadline is too close or records are incomplete, I may recommend an extension, cleanup first, or a more realistic timeline.
-
Yes. Work begins after a signed agreement, completed onboarding, and receipt of the information needed to start. The agreement protects both of us by making sure the scope, pricing, timeline, and responsibilities are clear.
